Service duration is one of the quiet settings that shapes the whole workday. If it is too short, appointments feel rushed. If it is too long, the booking page hides useful slots and the day loses momentum.

The best duration is not just the time spent with the client. It is the time needed to deliver the service well.

Start with the real appointment, not the ideal one

Look at recent sessions and write down how long they actually took. Include the start delay, the main work, the wrap-up, and any notes you had to finish before the next client.

If most sessions run five or ten minutes over, the duration is not realistic yet.

Split services that behave differently

One service name can hide several timing patterns. A first consultation may need more questions. A repeat session may be faster. A complex appointment may require preparation before the client arrives.

Create separate service durations when the work is genuinely different. This keeps your booking page honest without making every client choose from a huge menu.

Add cleanup and reset time intentionally

Some work continues after the visible appointment ends. You may need to update client notes, prepare the room, send a follow-up, or simply reset before the next person.

If that time is predictable, include it in the service duration or add a buffer. Do not rely on catching up later in the day.

Test the week, not just one slot

A duration can look fine on a single booking and still break the week. Open your booking page and scan a normal day. Do the available slots leave enough space for lunch, travel, and admin?

If the page creates a day you would not want to work, adjust the duration before sharing the link.

Review after busy weeks

After a full week, check which services stayed on time and which ones created pressure. Increase durations where quality suffered. Shorten only when the work truly became faster, not because the calendar looks empty.
