The appointment is not really finished when the client leaves. For many solo professionals, the few minutes after a visit decide whether the next step feels clear or gets buried under the next client, a late message, or the end-of-day rush.

A follow-up window is a small protected block after appointments where you close the loop while the details are still fresh. It does not need to be long. Ten calm minutes can be enough to update the client record, send the right next message, and decide whether the client needs a reminder to rebook.

Start while the context is still warm

Use the first minute to capture what future-you will need. Write down what was done, what the client asked for, what should change next time, and whether there was any sensitivity around timing, products, preparation, or payment.
